This privacy policy explains what personal information Steen Agencies Limited collects through this website and when you contact us, why we collect it, how we look after it, and the rights you have under Kenya’s Data Protection Act, 2019.
Who we are
Steen Agencies Limited (“we”, “us”) is a private limited company registered under the Companies Act, 2015. Our office is in Ganjoni, Off Moi Avenue, Mombasa, Kenya. We remove and dispose of asbestos roofing and re-roof buildings.
We decide how the personal information described here is used, so we are its “data controller” under the Data Protection Act, 2019.
Information we collect
When you send the quote request form:
- your name and phone number;
- your email address, if you choose to give it;
- where the building is (town or area), the service you need, and anything you tell us about the job;
- that you agreed to us using these details to reply to you;
- technical details recorded with the message: the date and time, the page it was sent from, and your device’s internet (IP) address and browser type. These help us spot and block spam.
When you call, email or WhatsApp us: your phone number or email address, your name, and the messages, photos or documents you choose to send.
When you visit the website: like most websites, the company that hosts it keeps short technical logs (IP address, pages visited, date and time) to run the site and keep it secure. This website does not use advertising or visitor-tracking (analytics) cookies.
How we use your information
- to reply to your request and arrange a free site inspection;
- to prepare your quote and, if you go ahead, to carry out and document the work, including the disposal paperwork we give you;
- to send you a copy of your request by email, if you gave an email address;
- to keep the records that the law and our licenses require;
- to protect the website from spam and misuse.
We do not sell your information, and we do not use it for advertising. We will only send you other messages, such as offers, if you ask us to.
Our lawful reasons
Under section 30 of the Data Protection Act, 2019, we use your information because:
- you gave your consent (for example by ticking the box on the quote form);
- it is needed to take the steps you asked for before a contract (a site inspection and a quote), and then to carry out the contract;
- it is needed to meet our legal obligations, for example record keeping.
Where your information is kept and who sees it
- On the website: every quote request is saved in the website’s secure dashboard (the Flamingo message store), which only authorised staff can open.
- By email: each request is also sent to [email protected], where our company secretary and customer care team handle it.
- Service providers: our website host and our email provider store this information for us and may not use it for anything else.
- WhatsApp: the WhatsApp buttons open a chat with us in WhatsApp. The website itself sends nothing to WhatsApp. Anything you send in WhatsApp is handled by WhatsApp (Meta) under its own privacy policy, as well as by us under this one. The same applies to our social media pages.
We only share your information with others when the law requires it, for example with a government authority that asks for it.
Information sent outside Kenya
Some of our service providers (for example email, hosting or WhatsApp) may store information on servers outside Kenya. When that happens, we only use providers that protect it to the standard the Data Protection Act, 2019 requires.
How long we keep it
- We retain quote requests that do not result in a contract for up to 12 months . Following this period, all related records are permanently deleted from our website and email systems.
- We retain records of completed work for as long as necessary to comply with applicable legal, regulatory, and licensing requirements [e.g., 6 years]. Once these retention obligations expire, the data is securely deleted.
How we protect it
Only staff who need your information can see it, and the website dashboard and mailbox are protected by passwords. The website uses a secure (HTTPS) connection. If a data breach puts your information at risk, we will report it to the Data Protection Commissioner and tell you, as the Act requires.
Your rights
Under the Data Protection Act, 2019 you have the right to:
- be told how your information is used (this policy);
- ask for a copy of the information we hold about you;
- ask us to correct information that is wrong or misleading;
- ask us to delete information we no longer need, or that is wrong or misleading;
- object to how we use your information;
- withdraw your consent at any time (this does not affect what we did before);
- receive your information in a common electronic format.
To use any of these rights, email [email protected] or call +254 717 541 741. We may ask you to confirm who you are first. We will reply within 24 hours.
Complaints
Please contact us first, so we can put things right. You also have the right to complain to the Office of the Data Protection Commissioner (ODPC): www.odpc.go.ke.
Children
Our services are for property owners, institutions and contractors. We do not knowingly collect information from children under 18.
Changes to this policy
We may update this policy, for example when the law or our website changes. The date at the top of this page shows when it last changed.
